Trainmates: Gym Buddy & Crew Stakes

Effective date: October 25, 2026

1. Introduction

Welcome to Trainmates ("Trainmates", "we", "us", or "our"), an iOS application developed and operated by Leethub, LLC, a company incorporated in Delaware, USA.

Trainmates is a gym accountability app for couples and small friend groups ("crews"). You check in with a workout photo, your crew sees it, and the app keeps track of weekly goals and the informal stakes your crew agrees on. This policy explains exactly what data Trainmates collects, where it is stored, who can see it, and how you can delete it. The short version: everything you share is visible only to your crew, we store only what the features need, and you can delete your account — and everything with it — from inside the app.

2. Your Account

Trainmates creates an account for you when you first open the app. To do this we generate and store a random device identifier that identifies your installation to our server. It is not Apple's advertising identifier (IDFA) and is not shared with advertisers.

Sign in with Apple (optional). You can optionally link your account with Sign in with Apple so you can recover it on a new device. If you do, we store the anonymous Apple user identifier Apple provides and — only if you choose to share them — your name and email address. We never see your Apple ID password or payment details. Trainmates works without Sign in with Apple; without it, your account is tied to the device it was created on.

Profile. You choose a display name (it does not have to be your real name) and a weekly workout goal. There are no public profiles: your name, photos, and activity are visible only to members of your crew.

3. Photos

Photos are the core of Trainmates. There are two kinds, and both are uploaded only when you choose to take or attach one:

Photos are stored on Amazon Web Services (AWS S3) in the United States, encrypted at rest, and served to your crew through short-lived signed links. Photos are visible only to members of your crew. We do not run any artificial-intelligence or face-recognition processing on your photos, do not use them for advertising or model training, and never sell or share them with third parties beyond the hosting provider that stores them on our behalf. Photos are deleted from our storage when you delete the check-in or nudge they belong to, when you leave a crew (for the photos shared with that crew), and in full when you delete your account (Section 11).

Trainmates asks for camera and photo-library access only when you tap to take or choose a photo. We do not scan or upload your photo library.

4. Crew Data

To run your crew, we store the crew's name and invite code, the list of members, each member's weekly goal and check-ins, the stakes your crew records (for example "coffee" or "dinner") and who owes them, nudges, and the weekly recaps the app generates from this data. All of this is visible to crew members only. A crew holds up to five members; anyone can leave a crew at any time from Settings.

Stakes are informal agreements between members. Trainmates records what was agreed and the resulting tally; it never handles money and has no payment or wallet feature.

5. Location (Optional)

If you turn on gym reminders, Trainmates asks for location permission so it can nudge you when you are near your gym and have not checked in yet. Your position is processed on your device using iOS region monitoring; your movements and location history are never sent to our servers. To make reminders work across devices, we store the coordinates of the gym you saved on our server — nothing else about where you are. You can decline or revoke location access at any time in iOS Settings without losing any other feature; reminders simply switch off.

6. Notifications

With your permission, Trainmates sends push notifications when a crew member checks in, nudges you, when a weekly recap is ready, when stakes are settled, and for gym reminders. To deliver them we store your device's Apple Push Notification token on our server. Notification content is generated by our server from your crew data and delivered through Apple's push service. You can turn notifications off in iOS Settings or per type inside the app.

7. Subscription Data

If you or a member of your crew purchases a Trainmates subscription, the app sends the following to our server so we can verify and grant access to the whole crew:

Your billing details and payment method stay between you and Apple. Crew members covered by someone else's subscription see only that the crew is subscribed — never the subscriber's payment details.

8. Analytics

We use Firebase Analytics (Google Analytics for Firebase) to understand how the app is used in aggregate — for example, how many people complete onboarding or how often check-ins fail. Analytics receives an app-instance identifier, device model and OS version, and the names of in-app events. It never receives your photos, your display name, your crew's content, your gym location, or your Apple identifier. We do not use analytics data for advertising and we do not share it with ad networks.

9. Data We Do Not Collect

Trainmates does not read Apple Health or any health or fitness data from HealthKit, and does not collect your contacts, calendar, microphone, browsing history, or advertising identifiers (IDFA). We do not run AI processing on your photos or messages. We have no advertising and do not sell your data.

10. Children

You must be at least 13 years old (or the equivalent minimum age in your country) to use Trainmates. We do not knowingly collect data from children below that age; if you believe a child has created an account, contact us and we will delete it.

11. Your Rights & Account Deletion

You can delete your account directly in the app: go to Settings → Delete Account and confirm. This removes your profile, your check-ins and their photos, your nudges and nudge photos, your saved gym location, your push token, and your membership in any crew. Your crew will see that you left. Afterwards we retain a limited account record (such as subscription and transaction history) only for as long as necessary to meet legal, tax, accounting, fraud-prevention, and refund-reconciliation obligations — including Apple's refund window — after which it is deleted.

You can also leave a crew without deleting your account, delete individual check-ins, and revoke camera, location, or notification permissions at any time in iOS Settings. To ask a privacy question, request a copy of your data, or make any other data request, contact us at support@trainmates.app.

12. International Transfers

Our servers and photo storage are located in the United States. If you use Trainmates from elsewhere, your data is transferred to and processed in the United States under the safeguards described in this policy.

13. Changes to This Policy

We may update this policy from time to time. Material changes will be reflected by updating the effective date above.
